How to add and manage coffee listings on V-Hub
Your coffee listings are the heart of your shop on V-Hub. Each listing carries the full story of the coffee: origin, variety, processing, quality, price, and availability.
Before you start Define your origins and warehouses first — listings reference them, so they need to exist in your account before you import.
Add a single listing
- Log in to V-Hub and go to your seller dashboard.
- Open the listings section and click to create a new listing.
- Select the shop the listing belongs to.
- Fill in the listing details: coffee name, origin, variety, crop year, processing method, grade, cupping score, price, quantity, bag size, and availability.
- Add images and a description.
- Save as a draft or publish immediately.

Add many listings (bulk import)
To upload multiple coffees at once:
- In the listings section, choose the bulk import / "add many" option.
- Select your shop.
- Upload a spreadsheet (.xlsx or .csv) containing your coffee data. Include the farm or source name — it must match the origins you created up front.
- Map your spreadsheet columns to the V-Hub fields.
- Review the import, fix any invalid rows, and save as drafts or publish.

Reuse your import template You can save your mapping as a template and reuse it for the next upload — no need to map the columns again.
Keep your stock in sync (ERP reference ID) Use the ERP/reference ID field in your spreadsheet to keep V-Hub in sync with your ERP system. When you upload a spreadsheet containing the same reference ID, V-Hub updates the existing listing (you'll see "updated", not "created") instead of creating a duplicate. This keeps availability accurate without manual edits.
Managing existing listings From the listings overview you can edit, duplicate, archive, or re-publish any listing. Drafts stay hidden until you publish them.
